WORSHIPFUL MASTER

Requirements to take office:

Elected by Lodge Vote
Proficient in Open-Close-Confer all three Degrees
Proficient in the Lecture of one of the Degrees (your choice)
Must be installed into office within 60 days of election

Expectations for your term in this office:

Attendance

· Attend all stated meetings
· Attend >75% of all other official Lodge meetings
· Attend the annual Communication of the Grand Lodge of Arizona.
· Attend the annual Leadership Conference of the Grand Lodge of Arizona
· Attend Grand Lodge of Arizona sponsored education events.
· File proposed legislation with the Lodge Secretary to be sent to the Grand Lodge Secretary

Serve on the Budget committee and prepare a budget for the ensuing year, to be presented to the Lodge for approval at the first meeting of the Lodge year. (See Senior Warden Committees)

1. You agree to be a good man and true, and strictly to obey the moral law.
2. You agree to be a peaceable citizen, and cheerfully to conform to the laws of the country in which you reside.
3. You promise not to be concerned in plots and conspiracies against government, but patiently to submit to the decisions of the supreme Legislature.
4. You agree to pay a proper respect to the civil magistrate, to work diligently, live creditably, and act honorably by all men.
5. You agree to hold in veneration the original rulers and patrons of the Order of Masonry, and their regular successors, supreme and subordinate, according to their stations; and to submit to the awards and resolutions of your Brethren, when convened, in every case consistent with the constitutions of the Order.
6. You agree to avoid private piques and quarrels, and to guard against intemperance or excess.
7. You agree to be cautious in carriage and behavior, courteous to your Brethren, and faithful to your Lodge.
8. You promise to respect genuine Brethren, and to discountenance impostors and all dissenters from the original plan of Masonry.
9. You agree to promote the general good of society, to cultivate the social virtues, and to propagate the knowledge of the Art.
10. You promise to pay homage to the Grand Master for the time being, and to his officers when duly installed, and strictly to conform to every edict of the Grand Lodge or General Assembly of Masons that is not subversive of the principles and groundwork of Masonry.
11. You admit that it is not in the power of any man or body of men to make innovations in the body of Masonry, except as duly authorized by Grand Lodge.
12. You promise a regular attendance on the committees and communications of the Grand Lodge, on receiving proper notice, and to pay attention to all the duties of Masonry on convenient occasions.
13. You admit that no new Lodge should be formed without permission of the Grand Lodge; and that no countenance should be given to any irregular Lodge, or to any person clandestinely initiated therein -being contrary to the ancient charges of the Order.
14. You admit that no person can be regularly made a Mason in, or admitted a member of, any regular Lodge without previous notice and due inquiry into his character.
15. You agree that no visitors shall be received into your Lodge without due examination and producing proper vouchers of their having been initiated in a regular Lodge.

SENIOR WARDEN

Requirements to take office:

Elected by Lodge Vote
Proficient in Open-Close-Confer in First and Second Degrees
Must be installed into office within 60 days of election

Expectations for your term in this office:

Your regular attendance at our stated meetings is essentially necessary. In the absence of the Master, you are to govern the Lodge. In his presence, you are to assist him in the government of it.

Attendance

· Attend all stated meetings (or provide a backup)
· Attend >75% of all other official Lodge meetings (Degrees, Educations etc.)
· Attend the annual Communication of the Grand Lodge of Arizona.
· Attend the annual Leadership Conference of the Grand Lodge of Arizona
· Attend Grand Lodge of Arizona sponsored education events.
· File proposed legislation with the Lodge Secretary to be sent to the Grand Lodge Secretary at least one hundred twenty (120) days before the date on which the Annual Communication is to be held.

Degrees

· Attain proficiency card in all 3 degrees by Oct-15
· Attain proficiency card in a Lecture by Oct-15
· Create all ritual line-ups and notify all participants for all Masonic Ritual Degrees

Committees Chairman

Work with the Worshipful Master and within the month of January, determine the necessary committees, assign chairmen and communicate goals and expectations. Minimum Required Committees:

· Awards Committee

· Budget – The budget committee will consist of the Master, Wardens, Treasurer, and Secretary; with the Worshipful Master serving as Chairman. The committee will begin work in November to prepare a budget for the ensuing year, to be presented to the Lodge for approval at the first meeting of the Lodge year. NOTE: Master Masons of Prometheus that are in good standings may attend and participate.

· Communications Committee

· Education

· Facilities Committee

· Family Events

· Finance / Audit (performs annual audit and reports to the GL by the due date)

· Friend to Friend Committee

· Fundraisers

· Grand Lodge Events

· Lodge Social Events

· Mentor Program

· Ritual Practice

· Sickness and/or Distress

· Special Degrees (Mark Master etc.)

· Travel Committee (Official visits and Degrees at other Lodges, Tombstone etc.)

· Youth Groups

JUNIOR WARDEN

Requirements to take office:

Elected by Lodge Vote
Proficient in Open-Close-Confer in First Degree
Must be installed into office within 60 days of election

Expectations for your term in this office:

To you is committed the superintendence of the Craft during the hours of refreshment. It is therefore indispensably necessary that you should not only be temperate and discreet in the indulgence of your own inclinations but that you should carefully observe that none of the Craft be suffered to convert the means of refreshment into intemperance and excess. In the absence of the Master and Senior Warden, you are to govern the Lodge. In their presence, you are to assist them in the government of it. You will serve on the Budget committee and prepare a budget for the ensuing year, to be presented to the Lodge for approval at the first meeting of the Lodge year. (See Senior Warden Committees)

Attendance

· Attend the annual Communication of the Grand Lodge of Arizona.

Event Planning

· Arrange for stated meeting dinners including prep, serving and clean up
· Collect the proceeds from any paid events and complete an income report detailing the amount and submit all to the Secretary

Degrees

· Attain proficiency card in 1st and 2nd degree by Oct-15

TREASURER

Requirements to take office:

Elected by Lodge Vote
Must be installed into office within 60 days of election

Expectations for your term in this office:

Receive all moneys from the Secretary, keep a just and accurate account thereof and pay the same out by order of the Worshipful Master and with the consent of the Lodge.

Serve on the Budget committee and prepare a budget for the ensuing year, to be presented to the Lodge for approval at the first meeting of the Lodge year. (See Senior Warden Committees)

Within the month of January, generate a financial report for the preceding year in preparation of submission to the Grand Lodge.

Attendance

· Attend all stated meetings
· Attend >75% of all other official Lodge meetings

Fundraising Report

· Report an account snapshot each month at stated meeting

Bank Accounts

· Notify the bank that you as Treasurer are the primary contact on the account
· Report an account snapshot each month at stated meeting

Credit card

· Notify the Credit Card company that you as Treasurer are the primary contact on the account
· Manage/assign the card holders

SECRETARY

Requirements to take office:

Elected by Lodge Vote
Must be installed into office within 60 days of election

Expectations for your term in this office:

Keep a faithful record of all things proper to be written, transmit a copy of the same to the Grand Lodge when required, receive all moneys from the Brethren, pay the same to the Treasurer and take his receipt therefore.

Serve on the Budget committee and prepare a budget for the ensuing year, to be presented to the Lodge for approval at the first meeting of the Lodge year. (See Senior Warden Committees)

Within the month of January, assist the Treasurer to generate a financial report for the preceding year in preparation of submission to the Grand Lodge. Upon successful financial audit, submit the financial report to the GL before the due date. Team with the Treasurer in preparation and filing of Lodge taxes.

Attendance

· Attend all stated meetings
· Attend >75% of all other official Lodge meetings
· Attend the Secretary day of annual Communication of the Grand Lodge of Arizona.

General duties

· Maintain inventory of all Masonic supplies (aprons, Bibles, rituals, trowels, candidate education materials)
· Maintain all correspondence with the GL and share with the WM upon receipt
· Keep the seal of the Lodge and to affix the same, with his attestation, to all papers issued under its authority or in obedience to the requirements of the Constitution and Statutes of the Grand Lodge
· Transmit to the Grand Secretary, immediately after each election and installation of a Lodge, a certificate thereof in the form prescribed
· Report to the Grand Secretary, immediately after their occurrence, all rejections, expulsions, suspensions, and restoration, in the forms provided

Dues

· Send out dues notification Nov 1
· Collect and manage payments and disburse cards accordingly
· Submit a report to the WM by 30-Jan of those who have not paid dues

New Prospects:

· Record name, phone and email and initial meeting date of all prospects in Logical Petitioners:
· Create a hard copy folder (stored in the Secretary office) for each petitioner
· Read the petition at the next stated meeting
· Scan and mail a full copy of the petition along with a (letter) to the assigned investigators
· Send read the petitions to the GL then morning following the reading
· Retrieve the GL report and read the petition in the next Stated meeting including the GL tracking number
· Upon affirmative vote (second reading) the following morning, send notification via regular mail to the candidate.
· Update Logical accordingly

Degrees in progress:

· Notify GL of candidate advancement
· Present the candidate with homework materials at the end of each degree
· Assign an apron to new EA’s, create a stick-on label with the name, affix the label to the plastic cap and store the apron in the tube in the secretary’s office.
· Update Logical accordingly

PO Box

· Notify the USPS that you as Secretary are the primary contact on the PO Box account
· Retrieve or arrange to have the mail retrieved weekl
· Ensure that all billing accounts are sent to the PO Box

Billing accounts

· Within the first 30 days of taking office, contact all billing accounts (Utilities, Alarm, insurance, cleaning, etc.) and notify them that you as Secretary are the primary contact on the account

Books of the Lodge

Minute Book

The Secretary shall keep a Minute Book, in which he shall record all the transactions and proceedings of the Lodge, proper to be written under the direction of the Master, and to submit such record to the Lodge, at its next stated meeting, for approval or correction, then to prepare and transmit a copy of such record, or of any part thereof, to the Grand Lodge, when required.

Account Book

The Secretary shall keep Account Books as may be necessary to present clearly the account of each member with the Lodge, the receipts of the Secretary of all monies due to the Lodge, and his payment to the Treasurer

Book of Constitutions

The Secretary shall keep the Book of Constitutions and Statutes of the Grand Lodge, which may from time to time be published, together with all the printed proceedings thereof as promulgated by its order.

By-Laws

The Secretary shall keep a book of By-Laws for the signatures of the members in order of their admission, in which he shall see that each member at once signs his name in full.

Roll Book

A Roll Book, in which he shall record, upon pages alphabetically arranged, the full name or names of all belonging to the Lodge; the dates of their initiation, passing, raising, or affiliation; the name, number, and location of the Lodges of which those affiliated last were members; the age and occupation of each when received; and the dates of their withdrawal, expulsion, suspension, death, or restoration.

CHAPLIN

Requirements to take office:

Appointed by the Worshipful Master

Expectations for your term in this office:

Perform those solemn services which we should constantly render to our great Creator and which, when offered by one whose holy profession is to “allure to brighter worlds and lead the way”, may, by elevating our thoughts, strengthening our virtues and purifying our minds, prepare us for admission into the society of the blessed in the realms of Life and Light eternal.

Attendance

· Attend all stated meetings (or provide a backup)
· Attend >75% of all other official Lodge meetings (Degrees, Educations etc.)
· Prompter for the Lodge at all meetings

MARSHAL

Requirements to take office:

Appointed by the Worshipful Master

Expectations for your term in this office:

You will, under the direction of the Master, take charge of all processions of the Lodge; and as the proper performance of many ceremonies will depend upon the manner in which your duties are discharged, you are enjoined to be most careful in their performance.

· Attend >75% of all other official Lodge meetings (Degrees, Educations etc.)

EA Degree: Propound the usual interrogations to the candidate from memory

SENIOR DEACON

Requirements to take office:

Appointed by the Worshipful Master

Expectations for your term in this office:

It is your province to attend upon the Master and to act as his proxy in the active duties of this Lodge. It will be your especial duty to carry orders from the Worshipful Master in the East to the Senior Warden in the West and elsewhere about the Lodge as required; to attend to all alarms at the door of the preparation room, receive and conduct candidates during their initiation and to introduce and accommodate visiting Brethren.

Attendance

· Attend all stated meetings (or provide a backup)
· Attend >75% of all other official Lodge meetings (Degrees, Educations etc.)

Degrees

· Open, close and confer the 1st degree and attain proficiency card by Oct-15

Visiting Brethren

· Identify first time visitors (before Lodge opens) and see that they are properly investigated with the aid of the Tyler
· Identify any visiting GL officers and notify the WM and the Lodge Secretary
· Lead/oversee the setup and tear-down of the Lodge (lead and identify the team of helpers. Min will be the JD, SS and JS)
· Ensure all Lodge articles are put away in the proper place.

JUNIOR DEACON

Requirements to take office:

Appointed by the Worshipful Master

Expectations for your term in this office:

It is your province to attend upon the Wardens and to act as their proxy in the active duties of this Lodge. It will be your especial duty to carry messages from the Senior Warden in the West to the Junior Warden in the South and elsewhere about the Lodge as directed.

Attendance

· Attend all stated meetings (or provide a backup)
· Attend >75% of all other official Lodge meetings (Degrees, Educations etc.)

Degrees and meetings

· Call the Brethren to Lodge 5 Minutes before start time
· Ensure the Brothers are properly clothed and vouched for

Lodge Setup

· Assist the Senior Deacon in the setup and tear-down of the Lodge

STEWARDS

Requirements to take office:

Appointed by the Worshipful Master

Expectations for your term in this office:

Your functions are to prepare candidates for admission and to perform those duties which Masonic custom has assigned to you.

Attendance

· Attend all stated meetings (or provide a backup)
· Attend >75% of all other official Lodge meetings (Degrees, Educations etc.)

Degrees and meetings

· Assist the JW in all of his duties, i.e. collecting money for the meals, arranging and advertising for special events, prep and clean-up of the dining area.

Lodge Setup

· Assist the Senior Deacon in the setup and tear-down of the Lodge

TYLER

Requirements to take office:

Appointed by the Worshipful Master

Expectations for your term in this office:

You will guard against the approach of Cowan’s and eavesdroppers and suffer none to pass or repass but such as are duly qualified.

Attendance

· Attend >75% of all other official Lodge meetings (Degrees, Educations

Duties

· Will watch and attend the Tyler’s table at the entrance of the Lodge.
· Observe that all Brethren, Visitors and Candidates sign the register and check all dues cards as Brethren enter the Lodge.
· Observe the Prometheus store display and all items for sale.
· Report any sold item to the Secretary and keep a log for inventory purposes.
